The Town is seeking qualified proponents to submit proposals to provide upgrades to and modernization of the current sound system at the East Elgin Community Complex (EECC). Specifically, the updated sysmte will be targeted to accommodate:

• Bluetooth/wireless connection for user groups to access and control sound system during arena usa
• Improved connectivity for user groups to the sound system with adequate wireless range throughout the arenas
• Reuse of current equipment where possible with minimal new equipment purchased
• A user-friendly experience for user groups
• Potential future replacement of equipment including speakers and amplifiers
• Support services provided by the successful bidder for troubleshooting/service calls

Contractor services shall include:

1. Conduct an analysis of the EECC's current arena sound system equipment.
2. Identify and assess any deficiencies or gaps in infrastructure, equipment, software, related to the sound system in the arena.
3. Provide a detailed list of recommended accommodations, including material and labour costs to remediate deficiencies.
4. Provide staff with a plan outlining:
   a) Current state of the sound system including but not limited to a full inventory of equipment, systems, software, and other essential equipment necessary to amplify and broadcast sound within the arena.
   b) Gap analysis of environment, including but not limited to, any deficiencies or gaps in infratsructure, equipment, software and methods or recommendations for addressing such issues and meeting the targets listed in the background section.
   c) Plan for implementation and ongoing operation of the sound system within the arena, coupled with timeframe, and cost estimates associated with implementation.
5. Once approved by the appropriate authority under the Town of Aylmer purchasing by-law, the vendor will begin implementation and complete the upgrade of the sound system as identified in the plan.
